Meeting Summary: Conference Coordination & Planning

This meeting focused on finalizing logistics for the upcoming conference, specifically addressing equipment needs, volunteer staffing, awards preparation, and communication strategies.


Action Items & Logistics

Conference Infrastructure: Name badges and award processing will be finalized this weekend. Due to a shortage of podiums at the Signia, Dillard will reach out to Bay Area contacts to borrow one additional podium.

Awards & Ceremony: * Jessica Hull is finalizing the script and managing the pins. Logistics include custom CalSPRA table numbers and the transport of 37 boxes of awards.The stage capacity is confirmed for up to 150 people.

Volunteer Management: Confirmation messages will be sent to volunteers shortly. Open slots remain for game night and book-signing stations; unassigned tasks will be filled as volunteers become available.


Departmental Updates

Chair Updates: Marquis reviewed progress on Goals 1 through 5.

Partnerships: All sponsor benefits are arranged, and program items have been received. Liaisons are identified. A new suggestion was made to invite sponsors to participate as volunteers.

Communications: The team is fully prepared with a comprehensive schedule for pre-, during, and post-conference social media posts. The Class Intercom content challenge is ready, utilizing QR codes for attendee participation.

Standing Items: Brief updates or placeholders were noted for Regionals, Mentoring (Jordan), and APR (Reyna).
